About this service
Gentlepass (“we”, “us”, “the service”) is a letter drafting assistance service serving families across England, Wales, Scotland, and Northern Ireland. By accessing or using Gentlepass, you agree to be bound by these Terms & Conditions.
Please read these terms carefully before using the service. If you do not agree to them, you must not use Gentlepass.

Gentlepass is a letter drafting assistance service only. We are not a law firm and we do not provide legal advice.
Nothing on this website or in any letter generated by Gentlepass constitutes legal advice, and nothing should be relied upon as such. The letters generated are templates and drafts intended to assist you in communicating with organisations after a bereavement. They are a starting point, not a finished legal document.
You are responsible for reviewing every letter for accuracy before sending it. You must ensure that the information contained in any letter is correct, complete, and appropriate to your specific circumstances.
For complex estate matters, disputed estates, matters involving significant assets, or where you are uncertain of your legal position, you should seek independent legal advice from a qualified solicitor.
No warranty of outcome
We make no warranty, express or implied, that any letter generated by Gentlepass will achieve any particular outcome, result, or response from any organisation.
The usefulness of any letter depends on factors outside our control, including the policies and procedures of the organisation to which it is sent, the accuracy of information you provide, and changes in law or regulation.
The service is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
Limitation of liability
To the fullest extent permitted by law, Gentlepass accepts no liability for any loss, damage, or consequence arising from your use of the letters generated by this service.
This includes but is not limited to:
- Any financial loss arising from reliance on a letter generated by Gentlepass
- Any failure of an organisation to act on a letter
- Any legal, regulatory, or administrative consequence of sending a letter
- Any indirect, consequential, incidental, or punitive loss
- Any loss arising from errors or omissions in information you provided to the service
Where liability cannot be excluded by law (for example, for death or personal injury caused by our negligence, or for fraud), our liability is limited to the maximum extent permitted by applicable law.
Our total liability to you for any claim shall not exceed the amount you paid to us for the service.
Your responsibilities
By using Gentlepass, you confirm that:
- You are at least 18 years old
- The information you provide is true and accurate to the best of your knowledge
- You will review every letter before sending it and verify that it accurately reflects your circumstances
- You will not use the service for any fraudulent, unlawful, or improper purpose
- You will seek independent legal advice for complex matters or where you are uncertain of your legal position
Payment and access
Access to the full letter generation service requires a one-time payment. Payment is processed securely by Stripe. All prices are inclusive of VAT where applicable.
Once payment is confirmed, you receive lifetime access to generate and download all letters in your pack. We do not offer refunds once letters have been generated, except where required by law.
Intellectual property
The letters generated by Gentlepass are provided for your personal use in connection with the administration of the estate you have described. You may not resell, redistribute, or use the letters or the Gentlepass platform for commercial purposes without our written consent.
Acceptable use
You must not use Gentlepass to generate letters for circumstances that are materially different from those you described in the intake form, or to generate letters on behalf of third parties without proper authorisation.
Service availability
We aim to keep the service available at all times but do not guarantee uninterrupted access. We may suspend or withdraw the service for maintenance, security, or other operational reasons without notice.
UK jurisdiction coverage
These terms apply to users across England, Wales, Scotland, and Northern Ireland. The letters generated by Gentlepass are drafted with reference to the laws and procedures of the relevant UK nation as selected by the user during onboarding.
Users in Scotland should note that probate is called Confirmation in Scotland and is handled by the Sheriff Court. Gentlepass generates a jurisdiction-appropriate Confirmation cover letter for Scottish users.
Users in Northern Ireland should note that probate is handled by the Probate Office in Belfast (Royal Courts of Justice, Chichester Street, Belfast, BT1 3JF). Gentlepass generates a jurisdiction-appropriate letter for Northern Ireland users.
Gentlepass generates jurisdiction-appropriate letters based on the country selected during onboarding. It remains your responsibility to verify that any letter is appropriate to your specific circumstances before sending it.
Governing law
For users in England and Wales, these terms are governed by the laws of England and Wales. Any dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.
For users in Scotland, these terms are governed by Scots law. Any dispute shall be subject to the exclusive jurisdiction of the Scottish courts.
For users in Northern Ireland, these terms are governed by the laws of Northern Ireland. Any dispute shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.
Changes to these terms
We may update these Terms & Conditions from time to time. We will notify you of material changes by email or prominent notice on the site. Continued use of the service after changes take effect constitutes acceptance of the updated terms.
